Do we need to discuss the RSU refund holdback deposit process?

RSU Holdback Check Issue:

When events allow refunds a certain amount is held back from the electronic payments made to WVMTR to cover refunds.  They hold it back until after the race is over and all refunds have been processed.   Then they mail a check to the Club.  From some reason I get all the holdback checks and until recently I was really good at depositing them but I missed the 2017 Trilogy check.  It got stale and they initially refused it but then proactively contacted us and said they reissued it less a $3 fee after confirming my address.  

This presents a couple of issues.  One Matt doesn’t get notified of the transaction detail unless I email him.  2nd the RDs don’t have visibility into the process.   RSU suggested a different method of payment and maybe Dan can expand on her suggestion. (Only because I don’t have time to research the email she sent right now. He was cc’d)

Two Items;

Wilderness Running Camp at Experience Learning - first camp went of very well the second week of July. Only 7 camper/runners this year, but it was a hit! I will forward am email to all of you from Katie Wolpert. I believe the camp will grow, I hope the board will continue to support their efforts.

Did we set a date for RD/Board meeting?

I have studied RSU's proposal, need more thought to decide if this is the best thing to do right now. 

I am compiling a list now of our races that 1) offer a refund 2) do or do not currently use the RSU Holdback and Refund program. 

I have a couple ideas. can we table this and discuss at RD?Board meeting? It would make more sense.

The RD/BOD meeting is tentatively scheduled for April 19-21, 2019.

I will continue to deposit the checks and notify Matt in the mean time.
