I know we changed the annual meeting to include a board meeting, RD meeting and general meeting. I’d like to discuss separating the RD meeting and doing it as we have the past several years. Here are a few reasons:
1) We still have emergency procedures to discuss and half of the year will be gone by July with very little time to implement procedures for the KT so maybe only 2 races benefit (Helvetia, Trilogy, and Canary).
2) If we meet in April we’ll still miss a few races for the emergency prep procedures and several races will benefit (Moonlight, DD, HS, plus the others mentioned above.)
3) Will enough RDs make it to Spruce Knob to make a meaningful meeting when the majority live down here?
I'm proposing an April RD meeting in Cross Lanes.

I would agree with Matt. We probably need an April Meeting. it's a hike for me to get there but I would like to get everyone on the same page regarding Emergency Preparedness. Accidents and emergencies will happen and as a club we need to be proactive in how we prepare and respond. I motion for a BD/RD meeting in April.

I agree Matt, however there may not be much interest in meeting.
The document Bill presented includes an RD sign off. They may have additional questions or concerns best shared in a more formal meeting environment.

I think the meeting in April is a good idea, but when have met in the past we are always crunched for time. Can we plan to attack the questions once an agenda is made if the meeting happens?

I agree with Matt. I would like to suggest the possibility of moving it closer to Bill since the majority of the agenda will be his and we have had it in the Valley for the last three time. There is Holiday Inn Express in Lewisburg that is 2 to 2.5 hours from most RDs and BOD members. There are probably other meeting room options such as Food and Friends.
Beckley would be another option that is a little further for Bill but closer to the Valley and about the same for Elkins/Helvetia.
I'm ok with whatever works for the majority.

I like Matt’s idea. Lewisburg would be fine with me. DT did you forget about me, or expect me to drive really fast.
As for annual meeting, if we offer a NFM run, they will come.

Yep, Lewisburg has some fine restaurants. I like it.

All: We have some fine discussions occurring. That's fine and well and can certainly be left with only discussion -- ultimately, some next steps can simply be summarized. If we are to have any actionable voting, a motion and second must be made.

I second Lewisburg area on the April 13th. Can we schedule it and ask RDs to RSVP and if we have a majority then we continue as planned. If a majority can't come let's postpone to the annual meeting and share emergency preparedness policy via email

I amend my motion to be; "schedule a BoD/RD in Lewisburg on April 13, and hold this meeting provided a majority of our RD's will commit to attend"
