Item 8: WVMTR General Election Process and Planning

Mr. Lehmann executed the majority of our 2019 election since I was on the slate and has some remarks to share about the process moving forward.

I trust you all saw the candidates listing and you voted. Overall the election process went very well. Congratulation Adam, Ashley and Andrew. There were a couple minor glitches due to errors in our Run Sign Up membership database; email addresses, family/individual designation, logging in process. All were addressed by monitoring the week long election.

Records show we had 247 total Memberships in 2019, Individual and Family. Vote turnout was 40 Individual and 27 Family ballots cast. That would be a total of 94 ballots since Family allows two ballots. Not bad.

The vote taking place in mid December was not optimal. Suggested improvements for 2020;
Call for nominees in mid October.
Have candidates photo and statement submitted by November 1
Hold election November 6-13, 2020. (Everyone's in the national election fever anyway)

I agree having the elections in mid November may be better than min-December. From Thanksgiving through New Year, most people stay pretty busy. Voting itself doesn't take very long, but the initial effort to sit down does.

Personally, I would like to increase voter turnout. We don't have any idea why the people who didn't vote, didn't vote. Is there interest in setting up an anonymous multiple-choice questionnaire asking why people didn't vote? Maybe like (1) Did not have time, (2) Did not sufficiently know the candidates, (3) Online voting was difficult to use, (4) I don't feel involved enough with the club to make a decision. We can send it to all members, and ask those who did not vote to participate. However, I do see the irony in asking people who didn't participate in the election to now participate in this questionnaire.

Maybe an earlier, vigorous notice would spur voters. The call for nominees is the perfect time to remind members of,  VOTE WEEK mark it on your calendars.

I check my email.  I think the runsignup membership glitch that expired my family membership in October prevented me for getting the email to vote.

This election was rigged and tampered with.  It should be declared invalid.  😉  That is sarcasm for the official minutes.

I don't have additional discussion on this point.  67 votes is actually pretty good in my opinion.

I agree the process went very well this year.  I think what is being suggested will only make the process that much better.  I don't believe we need a motion to accept this slight process alteration.

If there is no further discussion, I will see to it (with Andrew's help) to execute the 2021 election with a call for nominees in mid October;  candidates photo and statement submitted by November 1; election held November 6-13, 2020.

Time line accepted and works well for those running for positions and those voting.
