As a fair, functional and open organization we are obligated to hold annual Board of Director elections. The Membership elects each December three or four board members. There is no limit on the number of 2 year terms a person can serve.  We must develop a consistent, annual process that presents an actual slate of nominees composed of incumbents and/or new candidates. 

It is time to plan our 2019 annual meeting date and location to better accommodate the membership. Flatwoods is the geographic center of West Virginia, but it does not offer much else. We could still hold a January party and run in Helvetia to celebrate our founding, just not the meeting.

A few first ideas to get the discussion started:

1) In early November post to the WVMTR FB page and email members that volunteer board nominations are open.

2) List the current board members who's terms are up but have agreed to serve again and list the number of openings, if any.

3) Keep nominations open for a week or two and then send out a ballot by email to current membership in early December.  

4) Nominees have to be current club members and only current members can vote.

We may also just simply ask for volunteers that would like to serve a more active role in the club and then invite them to the annual meeting.

As for the annual meeting, we could use the BOD and RD meeting for the annual meeting too. We'd get a lot done in one day,, but it would be a longer day.  Agenda for the day 1) BOD 2) RD Meeting 3) Annual Meeting 4) Dutch lunch.   

Another idea, Annual meeting on Friday night and then on Saturday have the board meeting to discuss new items from the annual meeting and then have the RD meeting and lunch.  If we do it in Cross Lanes we have enough local folks to host the out of town folks in their homes. 

I'd like to keep something in Helvetia that gives me an excuse to attend.  Some kind of official business is the excuse I need. If it's a fun run and get together I think my family would trump it, unfortunately.  It's just like the Pub Run, I'd love to go every year but have yet to pull it off.  I didn't start attending the annual meeting in Helvetia until I got involved on the board.

I like Matt's idea of posting to the facebook page and via email to active club members that nominations are open for board members. People could be nominated by signing in to the club's website and submitting a member for consideration.

I believe we need two committees: 1) Nominating committee: objective - identify members for nomination for our BOD in effort to create legitimate elections annually.  2) Committee to identify potential locations and dates for an annual meeting: goal - identify a good centralized location for a general club meeting, run, fellowship, etc. and report back to the board recommendations.

I commented before seeing the other comments -- I think I needed to refresh the page.  Regardless, Matt makes some really good points.  Good ideas. 

I still think this would be good committee work to figure out.

I agree with moving annual meeting to bod/rd meeting wknd. Cross lanes is fine with this northerner

continue something in Helvetia. To nice not to have a reason to go

I think spreading the work around was many benefits, it lessens the load and gives others skin in the game of running the boat. Call it committees, volunteers or appointments, I'd like to hear which two/three of you will spearhead the Nominating Project and two/three the 2018 Annual Meeting plan and location. I can help too.

I can do this cause I'm still Pres for a few more hours.

I'll be on the nominating committee if Dan Todd will do it too. He's made the ballot in prior years.

You need to keep these committees small ( 2 people) and accept their recommendations without a lot of drama or it is just a waste of time.  I'm not trying to be negative, but large committees never meet or accomplish anything.

I will serve on the nominating committee.  We could even consider changing the by-laws to make the secretary the chair of the committee.

As far as anal meeting is concerned.  I think the winter is the best and least busy time.  Moving it around the state is not a bad thing.  We could consider asking a club member to host the annual meeting/RD meeting/BOD meeting.  It doesn't have to be in the same place each year but I think it should be in the same month, like Jan, Feb, or March.

Dan is correct, 2 individuals can accomplish a great deal. Matt Young and Dan Todd will work on a nominating plan to present to the Board.

Matt Young and I live semi close or DT and I. This means 2 of us can meet for a run or something and hash out details on a meeting place if need be. I can do the work; just need to know what work needs to be done.
