Danial Jarvis submitted the following for us to review. Sounds pretty cool!

Cory and I have come up with a Half Marathon Course for the Moonlight Madness. 

I want to pay for chip timing(probably go with ap timing). If we have the ½ marathon this year, we plan on keeping the 5k/10k.  We plan starting the ½ marathoners earlier so that people from all races are finishing around the same time.  We plan on having some awesome medals for the ½ marathoners.  I really like the medals that Ricky Campbell has designed and plan on asking him where he purchases them.  We have plotted a course that will use the current night race course and part of the 25 k course.  We plan on working with Chris Kyle/Scouts to approve our course.  We have to add a $3.00 user fee to each person for all the races this year, so that will be included in the race fee. There will be a cap of runners for the ½ marathon. I will discuss with Cory further, but I would think that we would cap the ½ marathon at 100-150 and let as many people sign up that want to for the 5k and 10k.  I would like to offer shirts in the price of the race fee as an option and have that over and done with the day of the race, instead of having people pick up their shirts 3 weeks later.  Below is a link to the proposed course and a screen shot as well.  The course on the 25k section will be tweaked a bit in a few places on the 25k course just to avoid running through someone’s yard a night.

We already support the existing event.  I do not see a problem with them adding a race distance to the docket.

Yes, we already support it but Moonlight is practically a fun run or club event instead of a race.  It has very little expense and exposure for the club. They keep it low key without shirts, medals, etc and it works great. 

Once you add shirts, medals and awards etc those things cost money upfront and require estimates to order at least the medals and shirts in advance.  The KT folks need to plan and budget accordingly.

The financial aspect of race directing is not this groups strong suit.  I think we should ask for a budget with estimated expenses and registrations for a reasonable amount of people that will support the expenses. Run Sign up shows 65 runners this year in the event.   100-150 runners is high for a night time trail half marathon in my estimate considering some of the 65 will probably move up to the Half.  If they base expenses on a high number it could lose money.  I realize we're a not for profit so making cash isn't the goal but avoiding a loss is a good idea. For a May race though they are working with a very short window.  I love these guys and appreciate their efforts but before we agree to another event I'd like to see more planning.

I definitely trust your opinion Matt.  I have not done any of their events, aside from the KT 50K in 2012.  A lot has changed since then. 

I'm interested in Dan Todd's thoughts.

I believe a short distance night run in that region would be a nice offering. The KT guys have the infrastructure at the BSA Camp in place, although I don't understand the $3 user fee to the camp. I guess race profits go to a specific troop. Matt, how much did Moonlight donate the past couple years to the scouts?

I question some of the cost items too. Chip timing costs your bottom line when we have the equipment to do it ourselves. In a race like Dirty Dog with 250 entrants it's a lesser issue. I wonder if this night HM will get a 100 the first year. We need some dollar figures on chip timing, medals, shirts, food etc.

Matt mentions an ongoing issue with the KT timeliness and accuracy of race reporting. This is mostly the KT 50/25. I have assurances from Daniel Jarvis he will be keeping up to date records of all three events in 2018.

I have not been that involved in the KT events for a while but I do have faith in Daniel Jarvis' organizational skills.  They are adding significant costs to their event with timing services, medals, and shirt with the later two requiring pre-purchase with an unknown number of participants.

I think they should give us proposed budget.  If they buy too many shirts and medals they'll lose money.  Like Gritts.

I think with the majority of our Membership in the kanawha valley, another race is not a bad idea, as long as the concerns Matt raised are addressed

What about if there is no chip timing the first year just to see what the budget really is and how many runners show, then if there is need for chips next year in 2019 the board approve that. Do racers really need a finishing medal?  I have not ran their races, but Dolin has and he really likes doing them. The people and fun to hang out with, usually some great post race grub, and the low cost no tee shirt is really nice. I think other trail runners would agree with him on this fun event.
